ACADEMIC REGISTRY

 

The Academic Registry's Student Records Service is responsible for the maintenance of the main student record on our Student Record system, ASTRA. This includes the management of the (re)registration process throughout the year. We also support the Anglia Ruskin Aspire and Books Plus Scholarship schemes, the Mandatory Bursary scheme and the Student Loan attendance task process, acting as Anglia Ruskin's main link with the Student Loans Company (SLC).

The Service comprises a team of 12 staff and is led by the Head of the Student Records Service Gary Smith. The Service is located in Eastwood House (1st Floor) in Chelmsford.

The Service is organised into two teams:

Registration

The Team's responsibilities include:

  • Undertaking registration, re-registration and associated changes to student registration data (such as transfers, withdrawals and intermissions);
  • Managing the input and validation of the student registration data on the first point of entry into ASTRA for all Faculties and Associate Colleges;
  • Managing the student data audit process in liaison with Faculties, and undertake student data validation checks throughout the year.

Registration Task

For the majority of courses students are now able to register with Anglia Ruskin before arrival on campus using the online registration task. Students are informed via their JoiningWelcome Instructions which is emailed to students by the Admissions Officer.

Students have to re-register on the anniversary of their start date or after any break in study. Students are sent an email to their Anglia Ruskin student email account when re-registration is due. At the same time the 'Re-Register' link will appear on students' e:Vision accounts on the 'My Registration' page.

Student Statuses (SCJ, SCE and SPR)

Student Statuses reflect the state of a student’s enrolment in each of the screens SPR, SCJ and SCE.  Therefore in some situations the three statuses will not necessarily match.  IT Training have produced the following guide as an overview of the statuses: student status guide.

Please note that intermission and withdrawal forms must be authorised by an Anglia Ruskin staff member before they are sent onto the Student Records service.

Systems, Scholarships & Training

The Team's responsibilities include:

  • Administering the Student Finance England Loan Attendance task processes for releasing the first payment of maintenance loan/grants;
  • Managing Anglia Ruskin scholarship awards including Books Plus, National Scholarships, Fee Reductions and Achievement Scholarships;
  • Liaising with the Student Loan Company (SLC) in relation to courses and maintain the HEI course database.

Student Loans

Once a student has registered and their Student Finance funding has been approved, the student will need to complete an attendance task on e:Vision to release their maintenance loan or grant.
