New Staff

Your line manager will have been given your username and instructions for your first working day with us. Please speak to them directly about logging into your account for the first time if you have not done so already. You will need to be familiar with the IT policies detailed on our What you need to know page, and will need to complete the Data Protection and Information Security training course on the HR E-Learning system.

As a member of staff at Anglia Ruskin you are provisioned with an account to assist you with your work. It is important that you read our Email policy and Acceptable Use policy for information on responsible usage of our systems.

As an Anglia Ruskin account holder you will have access to:

Email

What you can expect from us:

  • An email address based on your real name
  • Access to email, calendars, contacts and tasks via one easy-to-use client: Microsoft Outlook
  • Off-site access to email, calendars and contacts via Outlook Web Access (OWA)and Remote Desktop
  • Support for issues arising from using the Outlook Exchange client, Outlook Web Access client and the eVault archiving system

What we expect from you:

Using the email service

There are several ways you can access your Anglia Ruskin emails:

You can access your emails using Outlook which is available onsite on all Anglia Ruskin Desktop machines or offsite via our Remote Desktop client.
You can also access to email, calendars and contacts offiste via Outlook Web Access (OWA) and compatible mobile devices.


Accessing your Anglia Ruskin staff e-mail from a personal desktop, laptop or mobile device

Accessing your Anglia Ruskin staff e-mail from a browser (webmail)

  1. Open a web browser such as Edge, Internet Explorer, Chrome or Firefox and navigate to: https://webmail.anglia.ac.uk
  2. You will be presented with the new Anglia Ruskin login page.
  3. Enter your long username e.g. ab12@anglia.ac.uk and normal password.
  4. You will then be logged into webmail as normal.

Accessing your Anglia Ruskin staff email from a personal version of Outlook 2016

  1. Open Outlook 2016. 
  2. If you are prompted to choose a profile, click New.

  3. If you are not prompted, and Outlook opens and immediately displays your personal mailbox, please follow the instructions below under Configure Outlook to prompt for a Profile, and once completed, return here.

     

  4. Enter a name that is meaningful to you e.g. Anglia Account
  5.  

  6. If your personal installation of Office 2016 is connected to Office 365 you may see a prompt that looks like the below.  This is Outlook trying to be helpful and assuming that you want to configure an Office 365 mail account.  In this case we don’t so please click Connect to a different account
  7.  

  8. Enter your name, e-mail address and password when prompted and click Next
  9.  

  10. You will be presented with the following window showing you your e-mail address and asking for your password.   Click on More Choices
  11.  

  12. Select Use a different acount
  13.  

  14. Enter your Anglia Ruskin long username e.g. ab12@anglia.ac.uk and password
  15.  

  16. Your settings will be confirmed.  Click Finish to complete the setup and view your e-mail.  Note: it may take a few minutes to download a local copy of your e-mail from the server.

Configure Outlook to Prompt for a Profile

  1. Open the Windows Control Panel and click Mail
  2.  

  3. Click Show Profiles
  4.  

  5. Click Prompt for a profile to be used and click OK

Accessing your Anglia Ruskin staff e-mail from an iPhone

  1. On your iPhone, go to Settings -> Mail and tap Accounts:

  3. Tap Add Account:
  4.  

  5. Tap Exchange:
  6.  

  7. Enter your Anglia Ruskin staff e-mail address:
  8.  

  9. Enter your Anglia Ruskin password:
  10.  

  11. Enter webmail.anglia.ac.uk as Server, your long username e.g. ab12@anglia.ac.uk as Username.  You can leave Domain blank.
  12.  

  13. Tap Next.  A confirmation screen showing your settings will briefly flash up before being replaced with the screen below.   Tap Save to complete the setup.
  14.  

  15. You can now exit Settings and your Anglia Ruskin staff e-mail will be accessible from the default iPhone mail application.

Email archiving system (eVault)

Enterprise Vault or eVault is our automatic email archiving system. Mailbox items that are more than two months old are automatically archived and stored on the eVault server. This means that email will no longer be stored locally and also offers the added benefit of being completely secure and centrally backed-up.

It is important that you read section 2.2 Archiving in our our Email Policy for further information on archiving at Anglia Ruskin University.

This system is automatic and does not require any user intervention. All electronic mail in your mailbox that is older than two months is automatically archived and stored on the eVault server.
If your email is has an attachment size of more than 10MB, this will be automatically archived after 7 days. All archived emails remain in the vault for a period of two years before they are then permenantly removed.

You should regularly remove items from our Filestore that are no longer needed to ensure that there is sufficient storage for our growing University.

University Filestore

Our University Filestore provides secure storage for students and staff to save documents.

The H: drive is your personal home drive. It’s where you store data that is pertinent only to you. Data stored on the H:drive cannot be accessed and viewed by others. Your H-drive is 4GB.

The J: drive is our Faculty / Support Service shared drive. Data stored here is accessible to staff allowing colleagues to securely access shared resources. This drive should not be used for personal items. For example, you can store course notes, tutorials, meeting agendas and minutes or presentations here.

The O:drive (Shared) is used by our Faculties to enable staff to share documents with students. Data saved here is accessible to other staff and students, and should not be used for personal or sensitive information.


Using the University Filestore

Permissions to our University Filestore will be set on initial account creation and is available on all Anglia Ruskin desktops.

To access your filestore drives:

  1. Launch Windows Explorer from the Desktop Taskbar
  2. You will see your available drives listed under Computer situated on the left hand side.

J:drive users: If you require additional permission to a specific folder in the J:drive please contact our Customer Support Team.



Password Manager

Password Manager is a self service password system that allows you to securely change or reset your password yourself.
One of the benefits of this system is that you can change your password anytime, anywhere.

Once registered with Password Manager you will receive warnings before your password expires advising you need to change it and can reset your own password even if it has expired.

This service is available 24/7.

Using Password Manager

To access Password Manager you will need your Anglia Ruskin Short Username and password.

  1. Navigate to https://mypassword.anglia.ac.uk or click the Password Manager link located on the My.Anglia homepage.
  2. Log in with your Anglia Ruskin short username and password (e.g. abc123)
  3. Follow the screen prompts to change password

First time users will be asked to create a question profile. This is so the system can prompt you to answer these security questions in the event you forget and need to reset your password.



eduroam Wi-Fi

eduroam is our Universitys Wi-Fi service. Designed for the international research and education community, eduroam allows you to obtain free internet connectivity across campus and when visiting other participating institutions via wireless connections (Wi-Fi).

Guests and Affiliate Accounts


We understand that guests and affiliates of the University have different needs depending on why they are here, so we would advise you to speak to your Anglia Ruskin contact about your IT provision. They will be able to obtain a username and password for you if you are here for a period of time.

Student IT Accounts


All of the services available as part of your student IT account can be found on our student IT support pages.

Student IT Support is delivered by the University Library Helpdesk.
The Helpdesk is available 24/7 by telephone and email. You can also visit the Helpdesks in Cambridge and Chelmsford.
