Book a room

Welcome to the bookaroom homepage. The rooming team are part of the Timetabling & Space Management. We book all pool teaching space and meeting rooms as well as pool video conference rooms for the following campuses:

  • Victoria House, Fulbourn
  • Guild House, Peterborough
  • Rivermead, Chelmsford
  • East Road, Cambridge

How do I make a booking?

We provide an online serve for Anglia staff and students who wish to make internal bookings. The Web Room Bookings form can be used to request rooms for one-off extra-curricular activities such as single date meetings or video conference meetings. This service also allows you to manage your web room bookings.

To access Web Room Bookings please click on the link in the left-hand menu. By selecting your booking criteria the software can show you which rooms are available and allow you to choose which room you would like to request.

What are the benefits for me?

  • You can easily check room availability for your preferred date/time when planning a booking
  • You can view a list of all your bookings in one place
  • You can instantly cancel bookings that are no longer required
  • You can request changes to existing bookings by emailing bookaroom@anglia.ac.uk and then view the updated changes in your account (you will also receive email confirmation of any changes)
  • Bookings that are requested directly to bookaroom@anglia.ac.uk do not appear on your online bookings record, so it is always worth making your requests through the booking form.

Please note that room bookings are only requested through Web Room Bookings and are not confirmed until you have received a confirmation e-mail from the rooming team. Timetabling and Space Management reserve the right to change the requested room if a more suitable room is available. How do I check what’s happening in a room?

We publish the weekly room timetables online at: http://my.timetable.anglia.ac.uk/TSM-SWS-1112/default.aspx. Using this online service you can check the weekly room timetable for any week during this academic year.

What happens if I am organising a Conference or an event for external visitors?

The Estates events team is available to help you arrange any events for external visitors that you are organising. You can contact the events team at events@anglia.ac.uk. For general information about organising conferences, please click here.

What should I do if I need to make requests that are related to the timetable?

If you have any additional teaching or changes to teaching please continue to e-mail timetabling@anglia.ac.uk. Please do not fill in a web room booking form to request changes to teaching. Late changes to the timetable require a TT1 form – please see the staff area at www.anglia.ac.uk/timetabling for further information.

How far ahead can I book?

At present, we can take one off requests up to the 19 August 2012.

We are currently working on scheduling the 2012/13 timetable. Teaching has priority in the rooms, but once the timetable is released to students on Friday 27 July, you will be able to request up until the 18 August 2013.

It is possible to book the Corporate Suite rooms at Chelmsford and a limited number of video conferencing rooms at Cambridge and Chelmsford past August 2012, please contact us for details.

Please note, if you are organising a conference or external event, we do keep some rooms free during teaching periods at Cambridge and Chelmsford to help you book ahead. A limited supply of rooms are already available now on Wednesdays during the day and past 18.00 in the evenings throughout the week. Generally there are also rooms available at the weekends around Open Days and examinations, so it may still be possible for you to book ahead for some events now. Please email bookaroom@anglia.ac.uk with full details of your plans and we will advise you further.
