Academic Guide to Student Submission

The iCentre will take in all A4 and smaller submissions for all Faculties, unless the students have been advised of an alternative arrangement by the Faculty.

For larger than A4 pieces of work, or fragile submissions, the Faculties are responsible for the submission arrangements and informing their students.

All work submitted to the iCentres is subject to a 5pm deadline on the due date, regardless of iCentres' opening hours.

  • In accordance with University regulations, anything attempted to be handed in after the 5pm deadline will not be accepted by iCentre staff. University staff members adhere to a strict 5pm deadline, to ensure all students are treated in a fair and consistent manner i.e. 5.01pm will be considered late, and the assignment will not be accepted.

Bar-coded coversheet

Students should print, in advance, a personalised bar-coded assignment cover sheet from their e-Vision account, for each module element that they are submitting. Separate coversheets will be listed if there is more than one element per module, for example:

Element 010 = 1,500 word assignment

Element 011 = practice document

Students should be instructed to submit each module element under a separate cover. This is so that iCentre staff can log effectively, on SITS, when each element was submitted, and receipt sufficiently per submission.

Any problems students have accessing their e-Vision account should be directed to iCentre staff who will ensure their account is accessible and will be happy to personally show students how to print off their coversheet, and the other functions available via e-Vision.

If students have not printed a coversheet they should be directed to the University Library printing facilities on each floor of the Queen's building.

iCentre staff will endeavour to check that students have entered a word count on their bar-coded coversheet, and have entered the name of the marking academic, together with the submission date. If a submission doesn't have a specified word count, then student must write N/A in word count box. It is the students' responsibility to complete this prior to submission.

Receipting

Students should be instructed to collect blank receipts and complete in advance of submitting their assignments.

iCentre staff check that the SID number & module code written on receipt is correct and matches what is on the assignment coversheet.

Bar-coded coversheets and carbonated receipts are date stamped, and initialled by iCentre staff. iCentre staff hand back the white copy of receipt to student, and keep the green copy with assignment.

Receipts are kept by the iCentre for audit purposes and are not issued to the Academic.

Submission

A bar-coded coversheet (available via e-vision) and receipt must be fully completed and securely attached to each assignment BEFORE it is submitted.

Coversheets can be printed at any time and receipts are always available from the iCentre.

The printing of coversheets and collection of receipts should not be left until the last minute, and we ask that Academics encourage students to complete well in advance of the given deadline, in turn reducing any undue stress.

Postal Submissions

  • Postal submissions must be sent to the appropriate iCentre.
  • Assignments should arrive on or before the deadline date and time.
  • We advise sending assignments via a registered/recorded mail service.
  • Assignments should be accompanied by the bar-coded coversheet and a completed receipt.

iCentre staff will confirm receipt by emailing the student Anglia Ruskin email account.

Collecting work for Marking

iCentre staff will notify the Module Tutor (cc'd to the Module Leader, and the Faculty Business Manager) when work has been logged onto SITS, checked and is ready for collection. We endeavour to inform you within 24 hours of the deadline date passing, however during peak periods this may need to be extended to 48 hours.

If you are aware of incorrect data held on SITS, please do inform the Faculty Administrative Manager, who will ensure that the data gets amended on the MAV screen by the Timetabling and Rooming team.

Please wait for your notification email, and ensure you bring your Anglia Ruskin staff ID card when collecting work. If you are unable to collect the scripts promptly, or someone else is collecting on your behalf, please do advise the iCentre staff.

If you wish to have the scripts delivered to a different location, please do come and check/sign for the scripts at the iCentre, and then log a job with Facilities and Estates ext. 6464. Alternatively, you are very welcome to borrow crates and a trolley.

The iCentre will provide, from SITS, a list by Module of all the SIDs that have submitted on time. Students granted with an extension will have the extension date manually added to your copy of the submission sheet (SAL2). On submission of an extension, the iCentre will notify you when there is work ready for your collection – you will be required to complete an extension sign out slip for these additions.

iCentre staff will ask you to check the number of submissions matches the number completed on the audit sheet and when you are happy, they will ask you to sign and date the audit sheet. The carbonated copy of the student's receipt is withheld in the iCentre and filed with the audit sheet for a manual audit trail to back up the electronic SITS submission log.

You can collect work from the iCentre during normal working hours 08:30-17:00.

Please advise students that the 5pm due date deadline time applies.

It is standard practice for iCentre staff to send a reminder email to you if scripts remain uncollected after 3 working days, copying in the Faculty Business Manager.
